Check’s Payments Report
After you have
posted
ALL the invoices on a check, including the ones for which you received no
payment, you can easily create a
report
that shows you each amount you posted from this check and the total. Simply click on
the
icon pointing to the Reference you want to find,
as circled in the example above. The dialog below confirms your action.
To proceed with your request click OK.
If only one match is found you get the first dialog below. Just click
OK to review that invoice. However, if more than on invoice uses the
reference you get the second dialog.
If you click Cancel the
invoices that match the search will be found but you will be left in
the Billing module. You can then use the Next and Prev buttons to review the
invoices, or click the List button
on top to see a list. If you click View
you will get the dialog below so you can select how you want the
listing to be sorted. This way you can match the way the EOB is sorted
for easier comparison.
After you click OK you are
give the choice of either Printing or Viewing the report.
If you click View you will get
a report that looks like the one below. This shows a line by line
posting of all the amounts posted from the check and a total at the
bottom. (The last names have been removed from this real world report!)
The two amounts on the bottom should match. This tells you that all the
payments posted used the same payment type of "2", which is what you
want. Occasionally with manual check posting the wrong Payment Type is
entered and these fields do not match and you need to review the PT column to look for your error!
When you are finished reviewing the report click the Continue button on the left hand
side and confirm below if you want to print this check report now.
Doing a manual report
If you want to find a check reference you can click the circled find
icon below.
At the dialog box below you would enter the Payment Reference (check number) and
then select the Source of the
reference. Selecting the Source
is not really needed if the reference number, like the one below, is
long and very unlikely to be used before. For smaller numbers it is
best
to also select the Source for
this check
(such as BS for Blue Shield
or
SP for patient). The Source list is the same used when
entering your payments. This field is also called "Affiliate" in the Procedures Module.
If you search gets results, you get the same series of dialog
boxes as if you clicked on the check reference button discussed earlier.
